TRACKING & ASSET MANAGEMENT

Files, documents & archives

A proposed system for registering, locating and accounting for physical files with configurable identifiers, custody workflows and audit records. Technical assessment will confirm suitability for each site, process, records policy and privacy requirements locally.

01 / UNDERSTAND THE POSSIBILITIES

Visibility with purpose.

Paper records move between registries, offices, review desks and storage rooms, while teams need a consistent way to establish where a file was last recorded and who is responsible for its custody. NTABTECH can assess a proposed file-management approach using barcodes or RFID, a physical file register, and configurable check-in, check-out, request, reservation and audit workflows. Handheld search can help staff look up a registered file; detection and location depend on the selected technology, readers, site layout and infrastructure. Retention lifecycle tracking and electronic document management may also be assessed as separate capabilities. Each sector implementation is proposed, not delivered, and requires technical, operational and privacy review. Commercial enquiries are handled by NTABTECH.

02 / PRACTICAL APPLICATIONS

Designed around
the way you work.

Proposed applications. Technology, coverage and workflows are validated through a technical assessment.

01

Register and identify records

Create a structured register for file references, categories, storage locations and status, then associate records with barcode or RFID identifiers. A proposed configuration can be assessed against existing cataloguing rules, label practices and access permissions before any operational use.

02

Manage requests and custody

A configurable workflow can record file requests, reservations, check-out, return and custody transfer, creating an administrative history for authorised users. Workflow design, identity controls and the suitability of barcode or RFID scanning require assessment against the organisation’s procedures.

03

Find and audit physical files

Staff may use a handheld search process to look up a registered file and confirm its recorded location or custody status. RFID responses require powered readers; observed or last-detected locations depend on reader placement and infrastructure. Scheduled audits can compare records with checks performed on site.

04

Plan retention and digital links

Retention dates, lifecycle milestones and review tasks can be considered as configurable register fields and workflow steps. Electronic document management or digital storage integration is a separate proposed capability that must be assessed for records policy, system compatibility, access controls and retention obligations.

Beyond the physical file

Partner materials also describe electronic document management, label printing, retention scheduling and physical file storage/supplies. NTABTECH can assess how these fit alongside a physical-file tracking workflow and your existing records systems.

03 / A STRONGER OPERATIONAL PICTURE

Clearer custody records

A consistent register and recorded hand-offs can make file accountability easier to review, clarify responsibility and preserve history, without assuming every movement is automatically detected.

Searchable inventory

Identifiers and structured location fields can support repeatable lookups and audits, improve consistency across teams and simplify inventory reviews, subject to data quality, reader configuration and site assessment.

Workflows shaped to policy

Configurable requests, returns and retention steps can align with local procedures, document governance and assigned responsibilities after technical, records-management and privacy review.

Technical assessment comes first.

Every file-management implementation here is proposed, not delivered. Technical assessment must confirm volumes, identifiers, reader placement, layout, connectivity, integrations, access, retention and privacy. Location reflects recorded or detected events under selected infrastructure; accuracy, range and performance are not guaranteed. NTABTECH handles commercial enquiries.

All visuals and records in this experience are illustrative. Location is a recorded detection or sample GPS event, not a guarantee of continuous live positioning.
