Evidence & property accountability

A Clearer Record of Custody

Proposed identification and workflow tools help teams register, locate, transfer, audit and retain evidence and seized property, with access governed by agency policy and technical assessment.

01 / UNDERSTAND THE POSSIBILITIES

Visibility with purpose.

Evidence operations depend on clear records: what an item is, where it was last recorded, who accepted or transferred custody, and what action is due next. NTABTECH proposes configurable item registries and workflows for evidence rooms and related property stores, using barcode or QR labels and, where assessed as suitable, RFID. Depending on the selected readers and site infrastructure, teams may record check-in and check-out, search for an item, document custody events, attach files, and review audit history. These are proposed sector applications, not completed NTABTECH deployments. System design must fit agency procedures, applicable law, information-security controls, and the physical environment. No tracking technology replaces documented handling or human review.

02 / PRACTICAL APPLICATIONS

Designed around
the way you work.

Proposed applications. Technology, coverage and workflows are validated through a technical assessment.

01

Intake and item registration

Register a sample, exhibit, or seized-property item against an agency-defined reference, then associate a barcode or QR identifier and relevant files. A configured form can capture required fields and status transitions; field selection, access, and retention rules must be approved by the agency.

02

Custody and authorised transfers

Record proposed check-in, check-out, request, and custody-transfer events against the item registry. Configurable workflows can require designated roles or acknowledgements at handoff, creating an auditable administrative history without replacing agency chain-of-custody forms or evidentiary procedures.

03

Evidence-room inventory and search

Use barcode or QR scanning, or assess RFID where appropriate, to support inventory checks and item lookup in evidence rooms and property stores. Handheld search and location recording depend on selected equipment, configuration, and local connectivity; any location shown must be understood in that context.

04

Review, files, and retention

Review recorded movements and audit history, associate permitted documents, and configure lifecycle reminders or retention statuses to match approved policy. Electronic document handling, reporting, and record export should be scoped with agency IT, records-management, privacy, and legal stakeholders before use.

03 / A STRONGER OPERATIONAL PICTURE

More consistent records

A shared registry and defined workflows can make item status, recorded custody events, and outstanding administrative actions easier to review.

Accountable handling

Role-aware check-in, transfer, and audit records can support administrative accountability while keeping agency procedures authoritative.

Policy-led lifecycle

Configurable fields, files, and retention steps can be aligned with approved agency rules, access limits, and review responsibilities.

Technical assessment comes first.

Every evidence-sector implementation is proposed and subject to technical, operational, legal, privacy, and security assessment; none is represented as delivered by NTABTECH. Confirm agency procedures, custody requirements, system integrations, storage conditions, reader suitability, and connectivity before scoping. Apply data minimization, role-based access, personnel notice and consent where applicable, and approved retention and deletion rules. No covert surveillance. Commercial enquiries go to NTABTECH.
